Quickly add new case workflow
The most frequently performed task with Clinical Fox, is adding a new case at the bedside and then capturing case data as the case progresses and concludes. This is a step-by-step walk through of one fast and efficient way to do this.
Most commonly you will be performing this on a mobile device, although these actions can also be performed on your laptop through the web app (except for taking a photo).
1. Tap the Floating Action Button and quick-create a new case with a Start Time.
This creates an empty case record in your Clinical Fox database, setting the Start Time to now. If you are using 5-Minute Times (see the app settings), then this is rounded down to the nearest inclusive 5-minute time, while avoiding any overlap with your last set End Time (eg. for a preceding case).
2. Swipe right on the case and add a Sticker.
Once your case is underway and you begin your paperwork, you will want to capture a copy of the patient’s hospital sticker to save with the record. The easiest way to do this is from the home screen, swiping right on the case record to reveal the quick action buttons.
Click Sticker and your mobile device camera will open. Take a photo of the sticker (it is easiest to do this while holding your device in portrait orientation), click Use Photo, then by dragging the selection box, crop your photo to include only the sticker. Click Save.
Clinical Fox will then apply a filter to improve readability of the sticker, and upload it to the cloud database linked to your case. If there are any problems with this upload, for example due to unreliable internet access, Clinical Fox also saves a local backup of stickers and attachments on your device for 4 weeks.
3. Add case details.
Later when you have available time, on the home screen tap on the case record to open the case details screen. You can now enter as many, or as few, details about the case. Because tasks in Clinical Fox can be performed asynchronously, you could alternatively enter case details at the end of the day, even on a completely different device, such as sitting down at your desk with a laptop or iPad.
Recommended minimum details to capture are: patient first & last name, date of birth (for logbook demographics and age items), operation, item numbers, surgeon, specialty, hospital, fund (for fee estimation), your billing preferences (no gap, unit value, set gap or fixed total fee) and your mode of anaesthesia (for logbook stats).
As you use Clinical Fox more and more, many of these details will be remembered and default to your usual combinations, pre-filling any field that does not already have data. Entering a particular operation will pre-fill previously used item numbers, specialty and mode of anaesthesia data. A surgeon will pre-fill hospital and specialty fields. Certain funds will pre-fill the unit value field.
This means that for many cases it only takes less than 20 seconds to complete case details.
4. Swipe right and set the End Time.
The only remaining step to finalise the case data is to set the End Time.
When your primary anaesthesia care is complete, in the main home screen list view simply swipe right on the case record and hit the End Time button. The case end time will be set to the current time of your device, the same source used to set the Start Time – and as long as your smartphone, tablet or laptop is appropriately set-up, this will represent with 100% accuracy the true time in your location.
And that’s it! You have now captured all the critical information required to generate your billing instructions: the sticker and patient information, item numbers, start and end time. Although there’s no reason you then can’t simply Export as PDF and send your billing card to your staff, this can easily be batched with other cases at the end of the day to save you even more time.
